Event Coordinator - PFCU Kensington Derby and Arts Festival 2019

The Philadelphia Federal Credit Union Kensington Derby and Arts Festival is a wacky, creative celebration in East Kensington, Philadelphia. It's part design competition and parade of human-powered vehicle floats, and part arts festival featuring 150+ local arts vendors, food trucks, arts demonstrations, and performances. Drawing more than 5,000 spectators, this celebration of human-powered transit and neighborhood artists promotes local businesses and raises funds for the community development work of East Kensington Neighbors Association (EKNA) and NKCDC.

Function

Event coordinator will assist with the logistical details of hosting the 13th Annual PFCU Kensington Derby and Arts Festival on Saturday, May 11, 2019. Contract term for project planning, execution, and wrap-up/summary will run from December 2018 through May of 2019. Responsibilities include managing event logistics, managing supply vendor relationships and contracts, coordinating artist and food vendor recruitment, recruiting and managing event volunteers, and day-of logistics.

Professional responsibilities

  • Event logistics: Manage and maintain relationships with City agencies, utilizing past year information and documentation. Apply for all permits and approvals needed for event (parade permits; street closures, food service; event insurance), including working with partner organizations and residents to get necessary neighbor signatures.
  • Work with any event in-kind sponsors to coordinate delivery of services and products.
  • Curate vendor participation for artists, bands, and food trucks
  • Manage volunteers and staff, vendors, partners, etc. during the day-of activities to ensure that the event is run smoothly
  • Manage physical event layout, in partnership with EKNA and NCKDC volunteers and staff
  • Ensure that all supplies, materials, equipment, etc. are available on site for the event
  • Build on and expand prior years' outreach and recruitment methods to increase team registration; goal of 30 team registrations
  • Other duties as assigned

Qualifications and requirements

1. Describe your experience in the nonprofit sector. Include specific fundraising event coordination, event budgeting and planning, or marketing-related projects.
2. Provide detail about your experience planning a major event and/or street fair. What are some of your thoughts on attracting vendors, Derby teams, and arts groups and ensuring their satisfaction with the event?
3. Please detail your experiences working with the City of Philadelphia event permitting processes.
4. The PFCU Kensington Derby and Arts Festival has grown over the past few years, but we still view it as a community-centric event. What opportunities do you see for local volunteer recruitment (EKNA board members or NKCDC volunteers) and relationship-building in the Derby and Arts Festival schedule?

Compensation

This position is a part-time, temporary independent contractor/consultant position. Benefits are not included. Candidate must have their own work space and equipment (phone, computer, etc.) and will be responsible for managing their work schedule, in coordination with NKCDC staff and EKNA Board members.

The PFCU Kensington Derby and Arts Festival is a fundraiser for both EKNA and NKCDC and we operate on a tight budget. We are prepared to offer a total consultant fee in the range of $8,000 - $10,000. The agreed upon fee will be paid in 4 equal installments over the course of the consultant's contract.
